Logging In
Navigate to the app and sign in using your admin credentials via the user icon in the left sidebar. Admin accounts have full access to all management pages.
Navigation
Use the left sidebar to navigate. Click the hamburger menu icon to expand the full navigation overlay. The nav is organized into sections: Store, Employee, Products, Admin, Pricing, Settings, and Docs. Sections with subgroups are collapsible.
Nav Config
Go to Settings > Nav Config to control which nav items are visible per role and to drag-and-drop reorder items within each subgroup. Changes take effect on page reload.
Product Classifications
The system supports three product classifications: Footwear (sizes, widths, SKUs, CSD numbers), Apparel (clothing sizes, lengths, fit, care instructions), and Accessories (accessory type, sizes). Select the correct classification first when adding a product — it controls which fields are shown.
Adding a New Product
Go to Products > Add New Product. Select the classification at the top, then optionally paste a vendor URL to auto-fill details. Required fields vary by classification but always include: Name, Style Number, Description, Price, Protection Tier, Safety Tag, and Grade. Upload a primary image and click "Create Product".
Importing from a Vendor URL
Paste any vendor product page URL into the "Import from Vendor URL" box on the Add Product page and click "Import". The AI fetches name, price, materials, description, features, sizes, and image. The vendor domain must be in the Allowed Import Domains list (Settings > Allowed Import Domains). You will be prompted to add it if not already there.
Import from Comp Site
Go to Products > Import from Comp Site to bulk-import products by item number or by pasting a search results URL. Supports dry-run preview before committing, and runs as a background job so you can track progress.
Safety Tag Builder
On Add/Edit Product, click safety criteria buttons to toggle them on/off and build a concatenated safety tag (e.g. ASTM F2413-EH-SR). Use "AI Scan" to auto-detect applicable standards from the product's name, description, features, and existing safety ratings.
AI Protection Tier Recommender
Below the Protection Tier dropdown on Add/Edit Product, click "AI Recommend Tier". The AI analyzes safety ratings, features, and safety tag to suggest the correct tier with confidence and reasoning. Click "Apply This Tier" to use it.
Editing a Product
Open a product detail page and click the Edit icon, or use the Product Audit table's external link. The Edit Product page allows full modifications including bulk size/SKU/price/CSD import from Excel, drag-to-reorder additional images and feature bullets, and refreshing data from the source URL.
Product Audit Table
Go to Products > Product Audit By Style for a spreadsheet-style view of all products. Click any cell to edit inline. Boolean fields (In Stock, Featured, Active) toggle on click. Use the search bar to filter by name or style number. AI safety tag auditing available in bulk.
Martin CSD Numbers
Assign Martin CSD numbers to products per size/SKU. Go to Products > Manage Martin CSD Numbers for a bulk management interface, or edit them inline on the Edit Product page in the size table.
Managing Product Attributes
Under Settings > Product Attributes you can manage Categories, Protection Tiers, Safety Criteria, Grades, and Brands. Each has its own management page with create/edit/activate/deactivate/delete controls.
Managing Product Types
Use Settings > Manage Footwear Types, Manage Apparel Types, and Manage Accessory Types to control the available type options shown in product forms and filters.
Customer Price Files
Go to Pricing > Customer Price Files to define per-program customer prices for individual products. Select a program, then add prices manually or import from an Excel file. Prices can be auto-calculated from cost markup % or MSRP discount %. Download a template from the import dialog.
Master Price File
Go to Pricing > Master Price File to upload a manufacturer/vendor master pricing reference. Supports Excel import with automatic column mapping for style number, name, wholesale price, MSRP, MAP, and margins. Use "Delete All" to clear and re-import as needed.
Default Margin
Set a "Default Margin %" on each Benefit Program. This pre-populates the markup field when adding prices for that program in the Customer Price Files page.
Creating a Benefit Program
Go to Admin > Manage Benefits and Programs > Programs tab > "New Program". Set the program name, benefit model (combined or separate per classification), allowance amounts, reset period, tenure-based amounts, admin email, default margin %, and optionally restrict which products and classifications are available.
Setting Up Job Titles
Go to Admin > Manage Job Titles to create job titles for a program. Each job title can have allowed protection tiers assigned. When you assign a benefit to an employee and select their job title, those tier restrictions are automatically applied.
Assigning a Benefit to an Employee
Go to Admin > Manage Benefits and Programs > Employees tab > "Assign Benefit". Enter the employee's name, email or username, phone number (for SMS), department, job title, hire date, and select a program. Set a password. Optionally override allowed protection tiers.
Importing Employees in Bulk
Click "Template" in the Benefits page to download an Excel template, fill it in, then click "Import" and upload. The system creates new records or updates existing ones based on email address.
Editing an Employee Record
Click the pencil icon on any employee card to open the edit form. Update any field including allowance, used amount, password, status, notes (timestamped), and protection tier restrictions.
Understanding Benefit Status
Each employee has a status: Active (can purchase), Inactive (blocked), or Exhausted (allowance used up). The rolling reset countdown shows days until the benefit resets based on last purchase date + program reset period.
Tenure-Based Allowances
If a program has New Hire and Long-Term amounts set, the system applies the correct amount based on hire date automatically. Employees under 1 year get the New Hire amount; 1+ years get the Long-Term amount.
Viewing Employee Purchases
Purchase history is visible on each employee card in the Benefits page (last 3 purchases shown). Full history is on the employee's My Benefits portal page.
Order Notifications
When an order is placed, an email is sent to the admin email on the benefit program and a confirmation email + SMS is sent to the employee (if they have a phone number).
Benefits Dashboard
Go to Admin > Benefits and Programs Dashboard for an overview of total employees, budget allocated vs. used, and utilization charts by department and program.
Employee Login
Employees access the store via the Employee Login page (linked from the nav). They log in with their email or username and password set by the admin. No platform account needed.
Forgot Password
Employees can click "Forgot Password?" to request a 6-digit SMS reset code sent to their registered phone number. They enter the code and set a new password without admin involvement.
Shopping as an Employee
Once logged in, employees browse the Collection. Only products allowed by their program and protection tier restrictions are shown. Their allowance is applied automatically at checkout.
My Benefits Page
Employees view their allowance, usage, purchase history, and invoice details at My Benefits. They can print, email, or text invoices from there.
Setting Up a New Company
1) Create a Benefit Program with the correct benefit model, allowance, and reset period. 2) Create Job Titles for the program with appropriate tier restrictions. 3) Add employees individually or import via Excel. 4) Set passwords for each employee. 5) Share the Employee Login URL with employees.
Resetting an Employee's Benefit
To manually reset, edit the employee record and set "Used Amount" to 0 and clear the "Last Purchase Date". The next reset date will update accordingly.
Restricting Products per Program
In the Program form, use the "Included Products" and "Allowed Classifications" fields to restrict what employees see. Leave empty to allow all products and classifications.
Restricting Products per Employee
In the employee record, use "Allowed Protection Tiers" to limit tier access. This overrides job title restrictions. Leave empty to inherit the job title settings.
Keeping Import Domains Updated
When importing from a new vendor URL, the system will prompt you to add the domain. You can also proactively add domains at Settings > Allowed Import Domains.
